Build every guest movement before setting the schedule.
Key West is compact, but a short map distance does not prove capacity, timing, pickup access, parking, accessibility, or a safe return. Connect arrival, lodging, ceremony, reception, and departure as one operating system.
A flight, room block, rental car, transit route, or shuttle quote solves only one part of the chain. Name the guest, luggage and mobility needs, exact pickup point, vehicle, driver or operator, time window, backup, and person monitoring the trip.
Four questions before payment
Prove the complete chain for the real guest list.
Do not average away one essential guest’s late arrival, wheelchair, child seat, luggage, heat limit, or need for a reliable ride home.
Who must arrive early?
Name every person required for the license appointment, rehearsal, setup, ceremony, photographs, or another fixed event. Give each one a delay buffer and fallback.
Where will each guest sleep?
Confirm the exact property, dates, room type, occupancy, accessibility features, taxes and fees, minimum stay, deposit, cancellation terms, and check-in procedure.
How will each leg operate?
Assign airport or road arrival, luggage transfer, ceremony pickup, reception transfer, late return, and departure—not just the most visible ride.
What breaks the chain?
Test a delayed arrival, unavailable room, traffic, full parking area, missed pickup, vehicle failure, mobility mismatch, rain move, and early departure.
Seven movement records
Do not leave a guest between reservations.
Each row needs an owner, current confirmation, and replacement path. “Guests can figure it out” is not an operating decision.
Five connected systems
Test the places where one booking hands a guest to another.
Most failures happen at the handoff: arrival to pickup, vehicle to room, lobby to ceremony, ceremony to reception, or reception to safe return.
System 01
Arrival path
Protect essential people from the last practical windowSeparate guests flying directly into Key West from those driving the Keys or connecting through another airport. Each route has different delay, luggage, vehicle, traffic, and recovery risks.
Verify for each arrival group
- The first duty that person cannot miss and the latest arrival that still leaves a realistic buffer.
- The actual arrival location, terminal or meeting point, baggage size, mobility equipment, child seat, and number of companions.
- Who monitors the arrival and how the ground ride changes if the flight or road arrival moves.
- A replacement route, added lodging night, or reassigned ceremony duty when the last acceptable arrival is missed.
- For drivers, check current incidents and closures through Florida’s official 511 service before departure.

Hard stop: Do not place a legally or operationally essential person on the final unprotected arrival path.
System 02
Lodging plan
A block is a contract and an inventory decisionKeep guest convenience separate from the couple’s financial obligation. A courtesy option, guaranteed block, contracted minimum, vacation rental, and individual booking create different availability and cancellation exposure.
Put in one lodging ledger
- Property, room type, quantity, stay dates, booking deadline, rate inclusions, taxes and fees, minimum stay, deposit, and cancellation terms.
- What happens to unused rooms, whether the couple guarantees pickup or revenue, and who receives booking reports.
- Exact accessible-room features and whether the reservation identifies and holds the requested room type.
- Check-in and checkout windows, luggage storage, parking, companion rooms, elevator or route, and after-hours procedure.
- For a short-term residence, verify the address against the City’s current transient-license information and obtain separate written event permission if any event use is planned.
The City publishes a current transient-rental property list.
Hard stop: Do not guarantee room revenue or use an unverified short-term rental because the nightly rate looks lower.
System 03
Accessible chain
Verify the entire route, not one label“Accessible” does not tell you whether a particular guest can board the aircraft, enter the vehicle, reach the room, use the bathroom, cross the ceremony surface, sit safely, and return after the reception.
Confirm with the guest and each operator
- Airline assistance, mobility-device handling, terminal help, accessible ground pickup, and a backup if equipment is delayed or damaged.
- Vehicle door and lift, securement, rider plus companion capacity, device dimensions and weight, luggage, pickup surface, curb, and waiting area.
- Room route, bed, bathroom, shower or tub, visual or audible alerts, power, refrigeration, service-animal needs, and emergency exit.
- Ceremony and reception drop-off, surface, grade, distance, shade, seating, restroom, weather move, and return vehicle.
- Do not substitute assumptions about a guest’s needs for direct confirmation.

Hard stop: If one essential handoff cannot accommodate the guest and equipment, the whole movement path fails.
System 04
Wedding-day dispatch
Turn the quote into timed capacityA transportation price does not prove that the assigned vehicles can carry the people, operate at the locations, complete the cycles, or recover from a delay.
Reconcile the contract and dispatch sheet
- Company, dispatcher, assigned driver, vehicle type, seated capacity, accessible capacity, luggage limits, exact service hours, overtime, and replacement terms.
- Passenger groups and named leads; do not count the same seat in two simultaneous movements.
- Exact loading and drop-off points, vehicle access, standing or idling rules, staging, parking, walking route, lighting, and weather cover.
- Ceremony release, photograph time, traffic allowance, reception entrance, vendor movements, and any return cycle.
- Failure response for a late driver, wrong vehicle, mechanical problem, full road, blocked curb, or changed venue.
Hard stop: Reject a quote that does not identify capacity, operating window, pickup points, dispatch contact, and replacement remedy.
System 05
Safe return and departure
Plan the least photogenic ridesGuests leave receptions in waves. Build early, main, and final return capacity, then protect the next morning’s checkout and departure tasks.
Assign before the event
- Who may leave early, who must travel together, who needs an accessible vehicle or child seat, and who may not safely walk or drive.
- The first, main, and final return windows; dispatcher; guest contact; waiting area; overflow; and backup operator.
- Who confirms that no guest, vendor, mobility device, personal item, or original marriage record remains.
- Checkout, luggage storage, vehicle return, airport pickup, road traffic check, and post-event duties.
- What the couple funds when a planned vehicle fails or a guest misses the arranged ride.
Hard stop: Do not make the last shuttle the only safe way home.
Public options are inputs
Do not confuse availability with reserved wedding capacity.
Official services can help individual guests, but schedules, zones, stops, parking supply, and traffic conditions must match the event at the time of use.
Use the actual arrival method
EYW publishes current ground-transportation, taxi, rideshare, and accessibility information. Confirm pickup location, operating status, accessible capacity, luggage, child seats, and wait procedure directly with the chosen operator.
Shared service is not a charter
Key West Rides is a shared, bus-stop-to-bus-stop City service within its designated area. The City says zones and stops can change and provides a wheelchair selection in the app. Verify current hours and booking behavior.
Check the current timetable
The City publishes Lower Keys Shuttle schedules, maps, and stops and provides live transit information. A published route does not guarantee a wedding party will arrive together or fit a fixed ceremony handoff.
Inventory is not a reservation
The Old Town Garage currently lists 300 first-come spaces, vehicle restrictions, possible special-event rates, and closure during evacuations. Verify the exact lot, access, walking route, hours, price, and alternatives.

Build from people and fixed duties—not vehicle packages.

Ask about arrival method, companions, luggage, mobility, child seats, walking, heat, room features, vehicle access, and safe-return needs.

Choose a lodging pattern.
Compare room access, dates, guest cost, couple obligation, cancellation, parking, pickup points, accessibility, and distance to every event.

Draw every trip.
Map arrival to lodging, each event movement, early and final return, departure, and the transfers created by a weather backup.

Calculate timed capacity.
Assign passengers to actual seats and cycles. Include loading, mobility devices, luggage, photographs, traffic, staging, and unloading.

Verify each operating point.
Inspect or confirm the curb, entrance, stop, vehicle route, parking, walking or rolling path, lighting, shelter, and venue rules.
- 07
Contract the complete service.
Reconcile vehicle, driver, hours, price, gratuity, overtime, cancellation, dispatch, insurance, and replacement with the movement record.

Issue and monitor one controlled plan.
Give guests and operators the final times and exact points, then assign live monitoring and a defined failure response.
Movement hard stops
Do not pay while an essential handoff is still assumed.
An essential person uses the last unprotected arrival window.
The room block creates an undefined couple obligation.
A short-term rental cannot be verified on the City’s current list.
An accessible room or vehicle is described only by a generic label.
Passenger capacity ignores luggage, mobility devices, or companions.
The pickup point is not confirmed for the assigned vehicle.
The reception timeline is shorter than the real transfer.
One final shuttle is the only safe return.
Rule: Every essential guest needs a complete path in and out. If one leg lacks capacity, access, time, an owner, or a replacement, the event schedule is not ready.
